MULTIPLE E-MAIL ACCOUNTS
CREATE A NEW E-MAIL IDENTITY

WELCOME !

In Clinic 28 you learned how to set up an e-mail account. But what if you want MORE than one account?

WHY HAVE MULTIPLE E-MAIL ACCOUNTS ?:

  • You can have one for business and one for your friends
  • Your partner (and children) might want their own account
  • You've got a new ISP and e-mail address - but want to keep your old one active
Come into the Clinic ... and let's learn HOW !

HOW TO CREATE MORE E-MAIL ACCOUNTS

It's easy! Simply follow the steps detailed in Clinic 28 and set it up

You should now be able to DOWNLOAD e-mails from ALL your e-mail accounts - no matter which ISP you are connected to.

BUT ... In order to SEND e-mail from an e-mail account, the SMTP line MUST match the SMTP of the ISP that you use to connect to the internet. (If you don't know what this "SMTP" is all about, go back and study the previous Clinic)

EXAMPLES

  • My new ISP is (for example) Freeserve. This is the ISP I use to connect to the internet.
  • The POP3 for Freeserve e-mail is : pop.freeserve.com
  • The SMTP for freeserve e-mail is : smtp.freeserve.com
  • When I set my Freeserve e-mail account up, these are the POP3 and SMTP lines I'll use.
  • When I connect to the internet using Freeserve, I will be able to both SEND and RECEIVE e-mail using my Freeserve e-mail address.

FINE. I NOW WANT TO SET UP MY (for example) BT E-MAIL ACCOUNT

  • Follow the usual steps for setting up an e-mail accounts.
  • The POP3 for BT Internet is : mail.btinternet.com
  • BUT ... if I use that SMTP - and connect to Freeserve - I will be able to RECEIVE my BT e-mail but will NOT be able to SEND e-mail using my BT address.
  • I need to type in the SMTP line that MATCHES THE ISP I USE FOR MY INTERNET CONNECTION.
  • In this case, the SMTP line MUST be the Freeserve SMTP.
  • This is what it will look like :



POP3 line is for my
BT E-mail account.

BUT ... because I am
connecting to Freeserve
I must use the
Freeserve SMTP
    
  
And that's how you do it!

  The POP3 and SMTP details should have been given to you when you signed up for your e-mail account. For a list of the POP3 and SMTP's of popular ISP's - Click HERE


HOW TO SEND E-MAIL FROM YOUR DIFFERENT ACCOUNTS

  • Open up Outlook Express
  • Click on Tools ... Accounts.
  • You will see a list of your two or three e-mail accounts there
  • Click once on your MAIN e-mail account.
  • Now, click on the Set as Default button
  • Whenever you click on "New Mail" this is the account that will show in the "From" line
  • BUT ... if you need to send an e-mail using a DIFFERENT address ...
  • Click on the New Mail button.
  • At the end of the "From:" line is a little down arrow.
  • Click on that and there is a list of the e-mail accounts you have set up.
  • Click on the e-mail account you want to use for that particular e-mail
To see your
e-mail accounts,
click on the
down-arrow

Now, click on
the account
you want to
use for this
e-mail.

EASY !

REMEMBER - as long as the SMTP line of the e-mail account you are using MATCHES the SMTP of the ISP you connect to ... you should be able to both receive AND SEND e-mail using any of your e-mail addresses.


HOW TO SET UP DIFFERENT E-MAIL IDENTITIES

Even if you, your partner, and perhaps your children, have their own e-mail accounts, any one can download and read their e-mails. To keep e-mail accounts private ... you can set up New Identities.

A "New Identity" means that a completely new Outlook Express is created, and only the e-mail account set up in that Identity will appear. All the different Identities can be password protected, so only one person can gain access. Here's how to do it :

  • Open Outlook Express and click  File ... Identities ... Add New Identity
  • Fill in the name of the person who will be using that
  • If you need to password protect, put a tick in the box "Require Password"
  • Type the password in the top box, and confirm itin the second box. Click O.K.
  • The New Identity is now created.
  • To switch to a different identity, click on File ... Switch Identity
  • A box will pop up. Click on the identity to switch to :
Click on the new identity
you want to switch to.

Remember, you can create
several different
identities




Then ... click on
O.K.

  • If the identity has been password-protected, the password will need to be filled in before Outlook Express will allow the switch.
  • If you are connected to the internet at the time, a box will pop up asking you if you still want to remain connected. If you do ... click on Yes.

GREAT! Now you know how to set up different identities and keep different e-mail accounts private.



As always ... keep your PC in tip-top health. From all your previous visits to the Clinic, you have learned from The Doctor how to get rid of all junk by cleaning up old e-mails and then using Disk Cleaner (Clinic 15) You know how to first close down all running programs (Clinic 5 and 6) and then do a standard Scandisk correctly (Clinic 7)
