SET UP AN E-MAIL ACCOUNT

Dear Readers

Welcome to another Computer Clinic. When you register with an ISP (Internet Service Provider) you usually get an e-mail account. Sometimes, you can download a special file (an ".ins" file) which will make all your dial up and e-mail settings for you.

However, there may be times when you want to set up your e-mail account manually :

  • If you don't like things setting your PC automatically and WANT to do it manually
  • Setting up your existing e-mail account on a new computer
  • Setting up your present e-mail account after formatting the hard drive on your PC
  • Setting up multiple e-mail accounts on the same PC.
Here's how to do it. We will be using Outlook Express as our e-mail client, but the configurations you need to enter apply to MS Outlook as well.

WHAT YOU NEED TO HAVE

To set up an e-mail account you need to know :

  • Your USERNAME (e.g. ashley)
  • Your PASSWORD (e.g. moonlight)
  • Your E-MAIL ADDRESS (e.g. ashley@freeserve.com)
  • The POP3 and SMTP SERVER NAMES (more about this below)
Dr. Mac's Jargon Buster
POP3 :
I've seen TWO names for this one! "Point Of Presence" and "PostOffice Protocol" Put simply, you need to have this configuration in order to be able to RECEIVE e-mail on your computer.
SMTP : Stands for "Simple Mail Transfer Protocal" However, think of it as "SEND Mail Transfer Protocal" You need this configuration to be able to ... yes ... SEND e-mail from your computer.

HOW TO CREATE AN E-MAIL ACCOUNT
  • Open up Outlook Express.
  • On the top menu bar, click on "Tools ... Accounts"
  • The Internet accounuts box pops up. At the top, right corner, click on "Add ... Mail":

Hold your mouse over the
ADD button and then click
on Mail
    
     The following box pops up. Add in your Display name. This is the name that people will see          when they get an e-mail from you. You could add in just your first name, both your names,          Prof. J. Jones etc. For this example, we will use Ashley Anderson


 

This is the name people
will see when they receive
an e-mail from you.

Now, click on NEXT:

    
   The following box appears. Fill in the exact e-mail address you have registered with your ISP

 

 

Your FULL e-mail
address must appear
here.

Now, click on NEXT

   
     The next box appears. Fill in the POP3 and SMTP lines CAREFULLY. In this example, we          are assuming that Ashley Anderson is connecting to Freeserve AND has a Freeserve
         e-mail account

Now, click on NEXT




This should show POP3

Carefully type in the POP3 line.
All lower case.
No spaces.

Carefully type in the SMTP line.
All lower case.
No spaces.

  • In the next box, fill in your E-mail Account Name.
  • WARNING : (1) Sometimes the username/account name used to dial-up your ISP (DUN) and log-in is DIFFERENT to the E-mail Username. Be aware of this. (2) Sometimes your e-mail user/account name will only be (for example) Ashley - but sometimes you will need to fill in your full E-mail address. Your ISP should have provided you with these details :

Make sure you fill in your
account/username in the
format that your ISP
told you.

Type in your password
CAREFULLY. You will NOT
be able to see it as letters!

Tick "Remember password"

Now click NEXT

AND THAT'S IT ! CONGRATULATIONS !
You've DONE IT !


Click on FINISH
.

DOUBLE-CHECK YOUR E-MAIL SETTINGS

  • When you click FINISH, you will be back to the Internet Accounts box.
  • Make sure you click on the "Mail" tab. (tabulation) on the top.
  • You should see your newly created e-mail account.
  • DOUBLE-CLICK on the name "pop.freeserve.com" (OR ... click ONCE to highlight it, and then click the button which says "Properties" on the right)
 
  • The following box opens out. Change the "pop.freeserve.com" to something like Freeserve (or whatever your e-mail account is) This is not essential, but for cosmetic purposes it looks better !

 

 

For cosmetic purposes only!
BUT ... it looks better in the list.


Your Display Name and
E-mail address should
appear exactly as when
you typed them in.


Tick Include this account
when receiving ....


Now, you MUST click on
APPLY

  • Look at the top of the box ... click on the "Servers" tab.
  • Double-check that all the configuration details are correct :

Make a final check that the
POP3 and SMTP lines are
correct.

Make sure your Account name
is correct. If you want to
double-check your password,
DELETE it here - and type it
in again ... CAREFULLY.

Tick "Remember password"





If you have made any changes,
don't forget to click on
APPLY

FINALLY ... CLICK ON "O.K." AND YOU ARE READY TO SEND AND RECEIVE E-MAIL!
GOOD FOR YOU ! WELL DONE !
